Facility inspection checklist: building and roof

A facility inspection checklist covers the building itself: roof, walls and floors, doors and windows, and the grounds outside. This monthly one has 10 questions in three sections. The roof questions look for leaks, ponding water and blocked gutters and drains; the openings section checks that dock doors seal and that gaps letting in pests or weather are closed; the exterior section covers parking, lighting, fences, stormwater inlets and outdoor storage.

It suits a facilities or maintenance lead walking one building per record, with photos of anything found. Buildings fail slowly, so the value is in catching the first sign. A typical miss: a blocked roof drain over the warehouse lets water pond after a storm, it finds a seam, and a week later there is a drip onto racked stock or a wet patch in an aisle. Raise a work order from the No answer so the repair has an owner and a date.

What it is for, as built: Monthly inspection of the building, roof, doors and exterior.

The 10 questions in the inspection

Every question is answered Yes, No or N/A. Each No is flagged and asks for a photo and a comment, so the finding arrives with its evidence.

Worked example, illustrative

A filled-in example

One section as it might be filled in on the floor, with every other section of the inspection answered Yes. The place and finding are made up to show how the inspection reads and scores.

Result: fail, 80% against a pass mark of 90

  • 10 questions, all of them count.
  • 2 answered No, so 8 of 10 are Yes: 8 ÷ 10 = 80%.
  • 80% is under 90, so the inspection fails.

What happened next: Facilities cleared the drain the same morning. Roofing contractor checked the seams over bay 7 within the week.

Scored here as one point per question with N/A left out. In the app each answer carries the points set on the template, so change them after you clone it if your plant weighs some checks more.

  • Once a month.
  • The person responsible for the area or equipment answers each question on the spot.
  • Each record starts with: Building.

How it is scored

The template is built with points per answer and a pass mark of 90. In this library every audit is set to pass at 80 and every inspection at 90. Each submitted inspection shows its score and pass or fail, and every No is flagged with its photo and comment.

FAQ

Facility inspection checklist: building and roof: common questions

  1. Monthly per building as built. Add a walk after a storm, heavy snow or high wind, after any roof work or a new penetration for a duct or cable, after a vehicle strikes a dock door, and before winter so drains and seals are right ahead of the wet season. Roofs fail slowly, so the extra walk after weather is the one that pays.

  2. A facilities or maintenance lead who knows the roof layout, where the drains and seams are and how to get onto the roof safely. They need a camera and the last report to compare against. Findings go to the facilities manager for work orders, and any new structural crack goes to a structural engineer before anyone decides it is cosmetic.

  3. A fail means water, weather or pests have a way in, or will after the next storm. Move racked stock from under a leak now and catch the drip. Clear a blocked drain the same day. Everything else goes on a work order with an owner and a date, with a photo so the repair crew finds the spot. In this template every No is flagged and asks for a photo and a comment, and an inspection that scores under its pass mark of 90 is a fail.

  4. Keep the building, date, each finding with its location on the roof grid or column line, a photo, and the work order that closed it. Comparing the same spots month to month shows where the roof is ageing, which drains block every autumn and which dock doors keep losing their seals, so budgets go to the right place. In LeanSuite each submitted inspection is stored with its score, its pass or fail, and the photo and comment on every No.

  5. 10 questions in 3 sections: roof and structure, doors, windows and openings, and exterior. Every question is answered Yes, No or N/A.
