Onboarding: what your first days with LeanSuite look like

Short answer

Our team sets LeanSuite up for you, and online onboarding is included in every order. Your first module is live in under a week, and it can be live as soon as the next day. Onboarding then runs through your first 90 days, with a check-in every two weeks while your team uses it on its own lines. On-site training is available on request and is not bundled.

What is included

  • A specialist who sets up your account

    One specialist sets up your account and sees you through launch. The five steps are on the implementation page.

  • Your first forms, digitized

    We digitize your first few forms, such as a 5S audit or a CILR checklist, from paper, Excel or PDF.

  • Users and roles

    We configure roles and load your users and managers in bulk. Operators without a company email sign in with an employee ID.

  • Online training for your core team

    Online onboarding and training are included in every order. On-site training is available on request and is not bundled.

  • Single sign-on, if you use it

    Your IT team connects SAML 2.0 or OAuth single sign-on with Microsoft Entra ID or Okta. You can try it in a sandbox workspace first.

  • Check-ins every two weeks

    We check in to keep adoption on track and adjust your forms and workflows from the first feedback.

Your first 90 days

The kickoff, the first week and the check-ins come from our pilot and implementation pages. The three phases that follow are the ones in the 90-day model area method, which is how we suggest you run your first area.

  1. Day 0

    Kickoff call

    We learn how your plant runs and agree which module to start with. You name the people who will own the rollout at the plant.

  2. Week 1

    First module live

    Our team digitizes your first forms, configures roles, loads your users and managers and trains your core team. Your first module is live in under a week, and it can be live as soon as the next day.

  3. Days 1 to 30

    Set up, measure the baseline, see the real condition

    Your team uses the module on the floor in its first area. The method ends this phase with a team, a baseline on the KPI board and the area's real problems on paper. We check in every two weeks.

  4. Days 31 to 60

    Find causes and fix them

    The main causes are found and countermeasures are in place or scheduled. In the pilot, thirty days before it ends, our customer success team runs a value review with you.

  5. Days 61 to 90

    Write the standard, hold it, pass the gate

    The team writes the standard, follows it without help and passes the day-90 gate. If you started with the pilot, day 90 is when you decide with your own results.

  6. After day 90

    Expand one step at a time

    Choose the next module, line or facility. The method suggests three waves for months 4 to 12, starting with the areas most like the first one.

Under a week to your first module is the only fixed timing on this page. The phases after it follow the pace of your first area.

What to have ready

  • The one module you want to start with, and the area it will run in.
  • The forms and checklists you use today, on paper, in Excel or as PDFs.
  • A list of your users and managers, with their roles.
  • Someone at the plant who owns the rollout.
  • Your IT contact, only if you want single sign-on.

Start with one module and one area

Onboarding works best when it starts small: one module, one area and a team that wants it. Once it works, you add lines, teams and facilities. Several plants can share one workspace, each keeping its own data.

After the first module

You add modules one at a time, and we set up each one when you are ready. New features arrive in monthly releases. The help desk and the service terms are on the support and service levels page.
