Buyer's guide

Best nonconformance report (NCR) software

The best NCR software depends on where quality lives. Octave Reliance, MasterControl and QT9 QMS run NCRs inside a quality management system; Intelex inside an EHSQ suite. Mitti finds them during inspections. LeanSuite fits plants that want NCRs raised at the line by QR code and closed with a trained fix, next to their QMS.

In more detail: NCR software records a product, material or process that misses its specification, contains it, decides its disposition (use as is, rework, scrap or return), and sends systemic problems into a corrective action. Most NCR tools sit inside a quality management system, where the NCR links to CAPA, document control, training and supplier quality: Octave Reliance (formerly ETQ Reliance) is the configurable choice for multi-site manufacturers, MasterControl is built for FDA-regulated work, and QT9 QMS includes all its modules on concurrent licences with a free trial. Intelex has a dedicated NCR app inside its EHSQ suite, with 8D by severity. Mitti (formerly SafetyCulture) finds nonconformance during inspections. LeanSuite starts on the shop floor: an operator raises the NCR from a QR code with photos, containment is tracked, critical NCRs alert Quality at once, supplier defects can trigger a SCAR, and a systemic NCR becomes an 8D or DMAIC CAPA that closes only after operators sign the updated SOP or OPL. It sits next to a QMS rather than replacing it.

Who wrote this: LeanSuite publishes this guide, and LeanSuite is one of the six products on it. It is listed first because it is our product; the others follow in alphabetical order, which is not a ranking. Every other product is described only from its own public pages, and each entry says where that product fits better than ours.

Based on each vendor's public website, reviewed October 2026; tell us if something has changed at info@theleansuite.com.

How we chose these tools

A nonconformance report (NCR) records something that does not meet its requirement, such as a part out of tolerance, a wrong material or a skipped process step, together with how it was contained and what happens to it. ISO 9001:2015 clause 8.7 asks for control of nonconforming outputs. NCR software captures the report, routes it to the people who decide the disposition, and links repeat or serious problems to corrective action. Each product on this list meets all of these:

  • Nonconformance is named

The vendor's own pages name nonconformance or nonconforming product management as something the product does.

  • Used in manufacturing

Manufacturing is a market the vendor names.

  • Still sold in 2026

A live product page with a way to buy, start a trial or book a demo.

  • Public information

Enough on the vendor's own pages, read on 31 October 2026, to say how an NCR is raised and followed up. Where pricing or security is not published, the table says so.

Worked example

One cracked housing, from the line to a closed NCR

An illustrative case, not a customer: a machining cell making aluminum housings at $18 of material and labor each. Every tool on this page could record this NCR; they differ in where it starts and what has to happen before it closes.

  1. 1. Raise it

A first-piece check finds a hairline crack. The inspector checks the lot of 400 housings and finds 12 cracked: 12 / 400 = 3%. An NCR is raised at the cell with photos, the part number, the machine and the shift.

  2. 2. Contain it

The 1,100 housings already in work in progress are quarantined and sorted, and 27 more cracked parts are found. In total 12 + 27 = 39 parts are nonconforming.

  3. 3. Decide the disposition

Cracks cannot be reworked, so all 39 are scrapped: 39 x $18 = $702 of scrap, recorded against the NCR. The rest are released after the sort.

  4. 4. Fix the cause

Cracks found on two shifts make this systemic, so the NCR becomes a CAPA run as an 8D. Root cause: a worn fixture clamp. The new clamp check goes into the setup instruction, and the NCR stays open until every operator on the cell has signed the updated instruction.

Result: 39 nonconforming parts, $702 of scrap, one CAPA and an updated setup instruction signed by the operators. Choose a QMS when the NCR must sit inside validated document control and supplier quality; choose a shop-floor tool when the hard part is getting the NCR raised at the line and the fix trained back to it.

Six NCR software tools: LeanSuite first, then alphabetical

  1. 1. LeanSuite

Lean manufacturing software that runs nonconformances on the shop floor. An operator scans a QR code and the NCR form opens with machine, line and shift filled in, and the defect is flagged with photos. Severity-based routing alerts Quality and Engineering at once for critical NCRs, containment is assigned right away with quarantined stock tracked before root cause analysis starts, and supplier defects can trigger a Supplier Corrective Action Request (SCAR) with photo evidence and a response deadline. A systemic NCR becomes a CAPA, a project type with approval steps and templates for 8D, 5-Why, Is/Is Not and DMAIC, escalation rules can turn an NCR into a project when your criteria are met, and the AI RCA Agent drafts the 5 Whys, 4M1D and fishbone. Scrap, rework and expedite costs are logged against each NCR, and the QA Matrix gives each defect an AA, A, B or C priority. The fix goes out as a required one-point lesson or updated SOP, and the NCR cannot close until the training is confirmed; if the same defect code comes back, earlier closures are flagged. A failed audit item can start a CAPA automatically. It runs in the browser and on iOS and Android, does not work offline, and can act as the shop-floor layer next to your QMS rather than replace it. One flat price per facility with unlimited users; a 90-day pilot costs $3,000 per facility.

Best for: Plants that already have a QMS, or do not need one, and want NCRs raised at the line, contained, and closed only when the fix is trained to every operator.

    LeanSuite non-conformance management

  2. 2. Intelex

An EHSQ suite with a dedicated Nonconformance Reporting application. Frontline workers capture NCRs on a mobile app with photos, disposition, product ID and defect codes, on forms built from scratch or customized from ready-made ones, so reports are standardized across locations. A workflow moves each NCR and its action plan through creation, triage, verification and resolution, with due dates and automatic notifications, and the depth of root cause analysis, 8D and corrective and preventive action depends on the severity of the NCR. Real-time dashboards aggregate data across the organization. Corrective action, supplier, document control and training applications sit in the same suite. NCR pricing is not published; its published Safety Essentials package does not include it. Intelex lists ISO/IEC 27001:2022 certification and SOC 2 and SOC 3 reports.

Best for: Manufacturers that want NCRs and safety records in one EHSQ suite, with 8D scaled to the severity of each NCR.

    Intelex website

  3. 3. MasterControl

Quality and manufacturing software for life sciences and other regulated manufacturers. Its nonconformance process uses a pre-configured, multi-page form that is routed to the responsible people and escalates if it is not processed in time, and a five-step process from initiation through investigation, recommendation and disposition to management approval. Notification, follow-up and escalation of overdue tasks are automated, documents sit in a central repository with automatic revision control, and a change to a record needs a reason. Nonconformances can be trended by material, shift, machine and supplier, and a CAPA form can be launched straight from the nonconformance form with its data carried over. It links to document management, training and supplier audits and is cloud-based. Pricing comes from its representatives, under a named-user licence. MasterControl says it is compliant with ISO 27001, ISO 27017, ISO 27701 and ISO 42001.

Best for: FDA-regulated manufacturers, such as medical device and pharma, that need a validated NCR process tied to CAPA and document control.

    MasterControl website

  4. 4. Mitti (by SafetyCulture)

The new name of SafetyCulture, an inspection and operations platform used across industries. Its page on nonconformance management describes building workflows to your quality standards, running quality inspections with smart checklists to find evidence of nonconformance, reporting issues during an inspection and assigning actions, photo and video records of products and processes, and analytics on product quality. Formal disposition steps and supplier NCRs are not described on that page. It publishes pricing: free for up to 10 users, and Premium at $24 per seat a month billed annually or $29 monthly, with location-based pricing for multiple sites. Mitti says it is ISO 27001:2022 certified and has a SOC 2 Type II audit.

Best for: Teams that find nonconformance mostly during inspections and want a low per-seat price with a free plan to start.

    Mitti (by SafetyCulture) website

  5. 5. Octave Reliance (formerly ETQ Reliance)

A cloud quality management system from Octave with more than 40 pre-built, configurable quality applications, including Reliance Nonconformance Management, formerly ETQ Reliance Nonconformance Management. Nonconformances are monitored in real time and captured on the factory floor with Reliance Mobile, which works offline and syncs when connected. Workflows are built with drag-and-drop tools, with scripting for advanced cases, and CAPA, audits, document control, training and supplier quality run on the same platform. Its Insights module adds predictive analytics and machine learning, and it connects to ERP, CRM, PLM and MES systems through connectors and REST APIs. Reliance Go offers self-service deployment for smaller teams. It runs on AWS with role-based and location-based access. Pricing is not published.

Best for: Multi-site manufacturers that want NCRs inside a configurable QMS linked to ERP and MES, with offline capture on the floor.

Octave Reliance (formerly ETQ Reliance) website

  6. 6. QT9 QMS

A quality management system from QT9 Software that includes all of its 25 or more modules in one licence. Its Nonconforming Product module logs nonconforming product, quarantines affected items, and has approvers approve, reject or verify each record, with custom types and dispositions, unlimited custom fields, priorities, overdue email alerts and optional root cause analysis. Credits put a dollar figure on poor quality, and NCRs can be assigned to suppliers through a supplier web portal. NCRs link to CAPA, deviations, risk assessments, customer feedback and inspections, and reports can be built on any field and exported to Excel. Pricing is a custom quote by concurrent users and cloud or on-premise deployment, with all modules included, and it offers a free trial. QT9 says it is pre-validated and FDA 21 CFR Part 11 compliant, and its site footer states ISO 27001 certification.

Best for: Small and mid-sized regulated manufacturers that want every QMS module included, concurrent licences and a supplier portal for NCRs.

Where LeanSuite is different

This part is about our own product, so read it as LeanSuite's pitch; the entries above describe every other tool from its own pages. Each point links to the LeanSuite page that shows it.

  • From the defect at the line to an 8D

Operators scan a QR code and flag a non-conformance with photos. Critical NCRs alert Quality and Engineering at once, containment is tracked, and a systemic issue becomes a CAPA project with approval steps, 8D, 5-Why, Is/Is Not or DMAIC templates and a time-stamped sign-off at each step.

    NCR and CAPA
  • The CAPA closes only when operators are trained

The fix goes out as a required one-point lesson or updated SOP to every operator on the affected lines, and the NCR can't close until the read-and-sign is confirmed. If the same defect code comes back, the earlier closures are flagged.

Push the fix to every operator
  • Defects ranked by what they cost

The QA Matrix puts internal defects and customer complaints in one list, applies the standard costs you set by part number, and ranks each defect AA, A, B or C, so the most expensive one sits at the top of a live Pareto.

    Reducing COPQ
  • An RCA draft from your own manuals and past problems

The RCA Agent reads the problem, the manuals and SOPs you attach, linked documents and your plant's past problems, then suggests a 5 Whys, 4M1D and fishbone that your team edits. AI features can be switched off for your company.

    AI root cause analysis
  • A 90-day pilot at a published price

$3,000 per facility for 90 days, with the first module live in under a week. Pricing is per facility with unlimited users.

    The pilot

Where LeanSuite is not the right choice

The honest limits of our own product for this category, so you can rule it out quickly if one of these matters to you.

  • LeanSuite is not a quality management system and makes no FDA 21 CFR Part 11 claim. If NCRs must sit inside validated document control, MasterControl and QT9 QMS say they meet Part 11.
  • There is no supplier web portal in LeanSuite; a SCAR goes to the supplier with photos and a deadline, but QT9 QMS lets suppliers work their NCRs in a portal.
  • LeanSuite does not work offline. Octave Reliance's mobile app captures nonconformances offline.
  • LeanSuite does not publish an ERP, MES or PLM connector for NCRs; Octave Reliance lists connectors and REST APIs.

Which one fits

Is LeanSuite right for you?

LeanSuite is likely a fit if

  • You already have a QMS, or are too small to need one, and the gap is getting NCRs raised at the line with photos and contained the same shift.
  • You want a systemic NCR to become an 8D or DMAIC CAPA with an AI-drafted root cause, and the NCR closed only when every affected operator has signed the fix.
  • NCRs should sit next to daily issues, audits, the QA Matrix and cost of poor quality, at one price per facility with unlimited users.

Choose another tool if

  • Intelex: you want NCRs in the same EHSQ suite as incidents and audits, with 8D scaled to severity.
  • MasterControl: you make medical devices, pharma or other FDA-regulated products and need a validated NCR to CAPA process.
  • Mitti: your nonconformance shows up mostly during inspections and you want to start on a free plan.
  • Octave Reliance: you run many sites and want to configure NCR workflows yourself, linked to ERP and MES.
  • QT9 QMS: you want every QMS module in one licence, concurrent users and a supplier portal.

Raise it at the line, close it with a trained fix

Try LeanSuite in your browser with sample data, or run it on your own lines for 90 days with the setup done by our team. If you are not ready for software, start with the free NCR form or CAPA log.

What the 45-minute demo shows

For nonconformance reports, the demo raises an NCR at the line and follows it to a CAPA that closes only after operators sign the fix.

Bring one process you want to fix, and how you run it today. We show the same job in LeanSuite and answer your questions.

In the demo

  1. A non-conformance flagged at the line, escalated to a CAPA with 8D or 5-Why, and closed only after operators sign the updated SOP or OPL.
  2. The RCA Agent drafting a 5 Whys and fishbone from your problem, your manuals and past issues, with the kept countermeasures landing as owned actions.
  3. The QA Matrix ranking defects by what they cost, and the dollar saving tracked for 90 days after the fix closes.

Want to run LeanSuite on your own lines instead? The 90-day pilot is $3,000 per facility, set up by our team, with the first module live in under a week.

FAQ

Best NCR Software: common questions

  1. Software that runs nonconformance reports. It records what failed its requirement, with photos, part and lot, tracks containment such as quarantine and sorting, routes the NCR to the people who decide the disposition (use as is, rework, scrap or return to supplier), links serious or repeat NCRs to a corrective action, and shows trends by defect, machine, shift and supplier.

  2. It depends on where quality lives. Inside a full QMS, look at Octave Reliance (configurable, multi-site), MasterControl (FDA-regulated) or QT9 QMS (all modules included). Inside an EHSQ suite, look at Intelex. For nonconformance found during inspections with a free plan, look at Mitti. To raise NCRs at the line and close them with a trained fix next to an existing QMS, look at LeanSuite. LeanSuite is our product.

  3. An NCR records one nonconformance and what was done with the affected product: containment and disposition. A CAPA goes after the cause so it does not happen again: root cause analysis, corrective action and a check that it worked. Not every NCR needs a CAPA; a repeat, a customer escape or a serious defect usually does. Most tools on this page let you start a CAPA from the NCR.

  4. Not always. Regulated manufacturers usually need NCRs inside a QMS with validated document control and electronic signatures. Many plants already have a QMS but lose days getting the NCR raised on the floor and the fix back to operators. LeanSuite is built for that layer and can sit next to the QMS you have.

  5. Mitti publishes its prices: free for up to 10 users, then $24 per seat a month billed annually. QT9 quotes by concurrent users and offers a free trial. Intelex does not publish NCR pricing, MasterControl prices through its representatives on a named-user licence, and Octave does not publish prices. LeanSuite quotes per facility with unlimited users and publishes its pilot price: 90 days for $3,000 per facility.

  6. Because it is our page and we would rather say so than hide it in the middle. Read it with that in mind. The other products follow in alphabetical order, each is described only from its own public pages, each entry says who it fits best, and we will correct anything a vendor or reader shows us is wrong.

  7. We read each vendor's own public pages in October 2026 and used only what they publish. Where we could not find something, the table says not published, which does not mean the product lacks it. LeanSuite is our product. If something has changed, email info@theleansuite.com and we will update the page.
